Prepare the application, quantity, destination and timing before the first meeting.

The application

Explain the result you need, the surface involved and the existing condition. Be specific about the problem you are trying to solve.

The project context

Include approximate quantity, destination and target timing. Highlight written specifications, required documentation and any constraints already known.

The next decision

State whether the next step is a technical discussion, a sample assessment or a commercial review. A saved enquiry is a starting brief, not a quotation or commitment.

Separate what is known from what is open

Write down the facts you already have, then list the decisions that still need assessment. A confirmed destination and an estimated quantity are different kinds of information. If a sample, specification or deadline is still being developed, say so. Clear status helps the receiving person ask the right follow-up questions.

An illustrative handover

“We need a technical discussion about a furniture finish. The substrate and appearance target are identified, while the quantity and timing are preliminary. The next decision is which reference samples and documents should be reviewed.” This gives a useful starting point without creating an order, acceptance decision or commercial commitment.

Make it relevant to your project.

Bring the application and your requirements into a structured brief.
